Student Prospect List Enhancement Ensures Continued Compliance

Beginning February 16, 2022, EMA will include a global unsubscribe link on all emails sent via the Student Prospect Lists (SPL) and PROSPECT to allow families the option to easily unsubscribe from those services and to help ensure that emails are compliant with the ever-changing data privacy and protection statutes, such as the CAN-SPAM Act and other applicable privacy laws. This is in addition to any unsubscribe links added by an individual school.

Enhancement Details

Previously, email recipients had the option to unsubscribe to emails from schools using SPL or PROSPECT on an individual, email-by-email basis. This compliance enhancement allows contacts to unsubscribe from all schools at once via a global unsubscribe.

  • EMA will automatically include the following link in the email footer: Unsubscribe from receiving emails from all schools.
  • Schools will not need to take any action.
  • EMA has thoroughly tested the functionality to ensure that emails process smoothly with no interruptions. 
  • Senders can preview the new unsubscribe link by adding a sample student to their SPL via ssat.org.

Recommended Best Practices for SPL

  • Upload smaller batches of contacts. We recommend uploading under 500 contacts at a time from the SPL into your email marketing system to prevent any system flagging or other issues.

  • Upload minimal data columns from the SPL CSV file. For example, some schools will only upload the email alias addresses and student first names.

  • Use the SPL filter feature before downloading names. We recommend filtering the list in advance to make uploading easier.

  • Register for a free trial of an email marketing service if you are researching a new platform. If you have never used an email marketing service before, we recommend registering for one of their free trials to test it out before committing.

  • Mark the list as a "licensed" list, not a purchased list. If your system requires you to indicate where you obtained your list, be sure to refer to the list as a “licensed” list. EMA has direct consent from parents to contact them in this manner.
